When an account is created, we collect:

- Password (stored in hashed form; we never store or have access to your plain-text password)
- Agency affiliation and role
Checksheet Data
When you use the Service, we store:
- Vehicle checksheet records, including item statuses, quantities, and notes
- Vehicle information (unit numbers, VIN, mileage readings)
- Damage report photos uploaded by users
- Crew member assignments and service level selections
Automatically Collected Information
- IP addresses (recorded in audit logs for security purposes)
- Browser type and general device information
- Timestamps of account activity
2. How We Use Your Information
We use collected information to:
- Provide and operate the Service
- Authenticate users and manage access
- Generate checksheet records and history reports
- Send account-related communications (password resets, invitations)
- Maintain audit logs for security and accountability
- Monitor and improve Service reliability and performance
3. Third-Party Services
We use a limited number of third-party services to operate 911check.app:
- SendGrid -- used to send transactional emails such as password resets and account invitations. SendGrid receives the recipient email address and message content. See SendGrid's Privacy Policy.
- Sentry -- used for error tracking and application monitoring. Sentry may receive technical information about errors, including IP addresses and browser details. See Sentry's Privacy Policy.
We do not sell, rent, or share your personal information with third parties for marketing purposes.
4. Data Retention
We retain your data for as long as your agency account is active. Checksheet records are retained indefinitely to support operational history and compliance needs. If your agency account is deactivated, we will retain data for a reasonable period to allow for reactivation, after which it may be deleted.
Audit logs are retained for security and compliance purposes.
5. Data Security
We implement reasonable technical and organizational measures to protect your data, including:
- Encrypted connections (HTTPS) for all data in transit
- Hashed passwords using industry-standard algorithms
- Role-based access controls within the application
- CSRF protection on all forms
- Rate limiting to prevent abuse
No method of transmission or storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security.
6. Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and associated personal data
- Export your agency's checksheet data using the built-in backup features
Agency administrators can manage user accounts and access within their organization. For account deletion or data export requests, please contact us through the Support page.
7. Children's Privacy
The Service is not intended for use by individuals under the age of 18. We do not knowingly collect information from children.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active users of material changes via the Service or email. The effective date at the top of this page indicates when the policy was last updated.
